Welcome to AIetic HRMS ("we," "our," or "us"). We respect your privacy and are committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website, use our SaaS platform, or interact with our AI services, and tell you about your privacy rights and how the law protects you.

2. The Data We Collect

As an HRMS provider, we process two categories of data: Client Data (information about your company and employees) and Usage Data (how you interact with our system).

  • Identity Data: Names, usernames, titles, dates of birth, and gender.
  • Contact Data: Billing addresses, email addresses, and telephone numbers.
  • Employment Data: Salary history, performance reviews, attendance records, and banking details for payroll processing.
  • Technical Data: IP addresses, browser types, and login timestamps for security auditing.

3. Artificial Intelligence & Automated Decision Making

Transparent AI: Our "Neural Engine" uses algorithms to provide insights, such as Flight Risk Prediction and Resume Parsing. While AI provides recommendations, all final hiring, firing, and compensation decisions remain with the human employer. We do not use automated decision-making for legal effects without human intervention.

4. Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way.

  • Data encryption in transit (TLS 1.3) and at rest (AES-256).
  • Multi-Factor Authentication (MFA) for all administrative access.
  • Regular SOC2 Type II audits and penetration testing.

5. Data Retention

We will only retain your personal data for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. By law, we have to keep basic information about payroll for tax purposes for a minimum of 6 to 7 years depending on jurisdiction.
